It`s said that there`s no second chance to make a first impression. As our Administrative Assistant, you`ll be the first impression many people have of us, the voice of us to those calling on the phone and the face of the company to those visiting our office. But this job is about more than answering phones and being friendly, your initiative and organizational skills will keep us running at top performance, while your enthusiasm and ideas will shape the environment in which we all work.



We will rely on your experience and maturity to maintain a professional front-desk presence and greet visitors. We will also rely on you to handle incoming calls, assist in clerical work and tasks provided by multiple internal supervisors and staff members and perform the following responsibilities:

• Ensure bookkeeping is in accordance with company policies by using Quickbooks (and similar software)

• Organize bank documents and confidential information

• Provide group support

• Schedule appointments, coordinate meetings and order food for lunches

• Keep office clean and presentable

• Process new hire paperwork

• Liaise with outside vendors

• Order supplies

• Work within PowerPoint and Excel to ensure necessary documents are correct and presentable

• File, fax and copy necessary documents for accurate record keeping

• Run any additional errands for the staff

• Assist executive in maintaining a side EBay business including taking and downloading pictures, listing items, answering buyer’s questions, wrapping and shipping items, ensuring inventory management and sales documentation (invoices), paying bills and transferring money



Qualifications:

The qualified candidate will possess the following abilities, attributes, experience and skills:

• Strong follow-through

• Ability to prioritize

• Ability to adapt to changing priorities

• Proficiency and experience with Microsoft Office, Word and Excel

• Quick Books experience

• Must be deadline- and solutions-oriented, and able to handle multiple competing priorities. Wide variety of responsibilities means you`ll never be bored!

• Sense of humor and enthusiasm definitely appreciated.

• EXTREMELY ORGANIZED AND EFFICIENT

• Team player who can roll up their sleeves and get involved in everything from big projects to mundane, simple tasks- A true go-getter!

• A conscientious attitude

• Not easily frazzled and strong time-management skills during busy and slower periods throughout the day

• Attention to detail with the ability to multi-task

• Proficiency in MS Office – skills test will be required for this role

• Smart, energetic, outgoing personality

• Strong communication skills

• 2 years office experience required with bookkeeping experience

• Bachelor’s degree preferred

• Experience selling on eBay preferred
